Service Terms
This document contains specific terms of use of the Services and is an integral part of the Customer Agreement ("Agreement"). Capitalized terms used herein but not defined herein shall have the meanings set forth in the Agreement and Linked Documents.
Function Features of Services
ORFI provides Services designed to support Customer recruiters and hiring managers in the recruitment process. It is a supporting tool for Customer during Candidate Interviews, which analyzes and transcribes meeting recordings and verbal responses of Candidates.
The Services generate the Candidate Reports, which highlight key points and flag the Candidate’s responses based on customizable criteria set by the Customer.
Initially functioning as a smart note-taker, the Services help save time by automating the documentation of Candidate Interviews. The Services do not allow and are not aimed at making hiring decisions on the Candidates’ resumes, appearances, or behavior.
Customer Organization
The Customer's organization is defined by the corporate email domain name used and confirmed by Users – all Users with the same email domain name are automatically assigned to the same organization. The use of personal email service provider domain names is prohibited.
During the registration process, a new User can see a list of all teams within the organization and can request to join only one team.
Teams
Teams are created by the registered Users within an organization. Teams share their roles, Candidate Reports, and data retention settings.
Team Administrator
The User who created the team is assigned the role of team administrator. The team administrators confirm the Users’ requests to join the team, which are delivered by email.
Team Data Settings
The team administrator is responsible for setting the correct data retention period. On the “Settings” page, they can set a data retention interval. After the specified period, all the data concerning Candidates will be deleted from ORFI’s servers. In order to save the data, team administrators are allowed to download the data in a readable format on the “Settings” page.
Role
The roles can be created by any team member. Each Candidate is assigned a role, and their interview is analysed according to the role report.
Candidate Reports
For each role, a report must be set up by a team member. To set up a report, a User must choose appropriate report modules and configure them. The following modules are available:
(a) Technical interviews: Any report that contains the modules "Coding report" or "System design report".
(b) Conversational interviews: Any report that does not contain the modules "Coding report" or "System design report”.
(c) Transcript: A diarized transcription of the conversation with timestamps and speakers;
(d) Summary: Bullet point summary about the Candidates’ professional experience, skills, strengths, and any notable traits or concerns, based only on explicitly mentioned or strongly implied information based on Customer’s customizable criteria, which shall be neutral and unbiased: (i) Candidates’ professional background; (ii) Key skills and strengths; (iii) Notable qualities, concerns, and observations;
(e) Green flags, Red flags: a neutral report highlighting qualities or responses provided by the Candidate, including the list of flags, timestamps linked to the transcription, and an explanation of the match tailored to the specific job description;
(f) Key points: summary of the Candidates’ answers to the list of questions specified by the User beforehand;
(g) Coding report: a modular report for each live-coding task presented to the Candidate. It contains:
- A complete and detailed explanation of the task, including programming language, specific requirements, constraints, and other necessary details for solving the task.
- The code of the final solution provided by the Candidate as recognized using the screen-sharing video.
- The time it took to finish the task.
- Green flags observed during the Candidate Interview with a timestamp (the list of flags is system-specified).
- Red flags observed during the Candidate Interview (the list of flags is system-specified)
- Notes about the Candidates’ performance during the coding task, including approaches taken, hints given, and mistakes made.
- A bug-resolving approach.
The coding report is a part of the Candidate Reports.
(e) System design report: a modular report for each system design task presented to the Candidate. It contains:
- A detailed summary of the task.
- A detailed summary of the Candidate’s solution
- Images of the Candidate’s screen while presenting different stages of the solution
- The time it took to finish the task.
- Green flags observed during the Candidate Interview with a timestamp (the list of flags is system-specified).
- Red flags observed during the Candidate Interview (the list of flags is system-specified)
- Notes about the Candidates’ performance during the system design task, including approaches taken, hints given, and mistakes made.
The System design report is a part of the Candidate Reports
Candidates
Candidate Reports for each role are available to any User. To add a Candidate, an interview must be scheduled by providing the Candidate's name or a pseudonym, a link to the conversation (Google Meet, Microsoft Teams, and Zoom links are supported), date, and time of the meeting.
ORFI’s bot must be added to the conversation to record the meeting data. The Candidate’s consent must be received before using ORFI Services, according to the Agreement. After the meeting has ended, the Candidate Reports will be generated automatically.
Report limits
Initial Free Reports for Customer: Every new Customer (not Users) starts with 10 (ten) free Candidate Reports. The number of available reports is displayed at the top of the screen in the Account. ORFI’s customer service might add any number of reports to a Customer’s account according to the Order Form, invoice, or otherwise agreed upon by the Parties.
Invitations
For every new User who joins the Customer via an invitation, the Customer gets 5 (five) additional Candidate Reports. If a User joins without an invitation, reports are not granted to the Customer.
